Confirmed Privacy Policy

Confirmed respects your privacy. This Privacy Policy explains how Confirmed LLC (“Confirmed,” “we,” “our,” or “us”) collects, uses, shares, stores, and protects your information when you use Confirmed’s websites, applications, browser extensions, Outlook add-in, mobile applications, and other services (collectively, the “Services”).

By creating an account, connecting third-party services, or using the Services, you acknowledge that you have read and understand this Privacy Policy.

1. Information We Collect

What this means for you: We collect information that you provide, information needed to operate the Services, and information from accounts and services that you choose to connect.

Information You Provide

We may collect information you choose to provide directly, including your name, email address, phone number, company, title, profile information, meeting details, meeting notes, networking event information, scheduling preferences, account settings, and other information you choose to enter into the Services.

Information About Your Use of the Services

We may collect technical and usage information such as device type, browser type, operating system, IP address, application version, log information, diagnostic information, feature usage, performance information, and cookies or similar technologies. This information helps us operate, secure, troubleshoot, and improve the Services.

Information from Connected Services

If you choose to connect third-party services, Confirmed may receive information necessary to provide the features you request or configure. Depending on the services you authorize, this may include information from email providers (such as Google Gmail or Microsoft Outlook), calendar providers (such as Google Calendar or Microsoft Outlook Calendar), contact sources (such as Google Contacts, Google Other Contacts, Microsoft Outlook Contacts, CRM systems, or previous Confirmed interactions), customer relationship management systems (such as Salesforce, HubSpot, or other CRM systems you choose to connect), professional networking services, and other services that you authorize Confirmed to access.

The information accessed depends on the permissions you grant and the features you choose to use.

Authentication Information

When you connect third-party services, Confirmed may receive secure authorization tokens that allow the Services to access approved information on your behalf. Confirmed does not receive or store your passwords for connected accounts.

Team and Organization Account Information

If you use Confirmed through a team, enterprise, or organization-managed account, administrators may provide information about your account or manage certain account settings as described in this Privacy Policy.

2. How We Use Your Information

What this means for you: We use your information to provide the features you request, operate and improve the Services, protect your account, and help you manage your work more effectively.

Confirmed uses information we collect for the following purposes:

  • To create and manage your account, provide the Services, personalize your experience, and enable the features you choose to use.
  • To perform user-directed workflows using the accounts and services you choose to connect.
  • To help you schedule meetings, share scheduling links, locate contacts from connected contact sources, create or manage calendar events, synchronize user-selected information with connected CRM systems, and support networking, introductions, and relationship-management features.
  • To use connected services only as necessary to provide the features you request or configure, including features that continue operating on your behalf until you modify, disable, or disconnect them.
  • To respond to questions, troubleshoot issues, provide technical support, and improve customer service.
  • To protect the Services, detect and prevent fraud, enforce agreements, investigate misuse, maintain system security, and comply with legal obligations.
  • To understand how the Services are used, develop new features, improve existing functionality, analyze performance, and enhance the overall user experience.
  • To send service-related notices, account notifications, security alerts, billing communications, product updates, and other information related to your use of the Services. Where permitted by law, we may also send information about new features or offerings. You may opt out of marketing communications, but you will continue to receive important service and account-related communications.

Where practical, we use aggregated, de-identified, or anonymized information for analytics and product improvement.

3. Google API Services

What this means for you: If you choose to connect Google services, Confirmed accesses only the information needed to provide the features you request or configure. Your Google API data is not used for advertising, sold to third parties, or used for unrelated purposes.

When you choose to connect Google services to Confirmed, we access and process information only as necessary to provide the features you request or configure. Depending on the Google permissions you grant and the features you choose to use, Confirmed may access information from Google services such as Gmail, Google Calendar, Google Contacts, and Google Other Contacts.

Google Calendar

Confirmed may access Google Calendar to read calendar availability and to create, update, or delete calendar events as part of the scheduling features you request or configure. For example, if you create and share an active scheduling link that hides times when you are busy, Confirmed may continue checking your calendar availability as needed until you modify, disable, or disconnect that feature.

Google Contacts and Other Contacts

Confirmed may access Google Contacts and Google Other Contacts to help you locate contacts and pre-populate information for scheduling, invitation, contact, and other user-requested features. For example, when you start typing a name or email address in a scheduler workflow, Confirmed may help you find and select the intended contact from the contact sources you authorized.

Gmail Synchronization

Confirmed uses read-only Gmail access to support user-directed synchronization of selected Gmail messages or threads with CRM systems that you authorize, such as Salesforce or HubSpot.

When you explicitly select Gmail messages or threads and request synchronization to a connected CRM system, Confirmed processes only the information necessary to complete that synchronization. This may include selected message content, sender and recipient information, subject line, date and time, and related message or thread identifiers.

Message and thread identifiers may be used transiently to complete synchronization or help prevent duplicate activity creation. Confirmed does not permanently store Gmail message IDs, thread IDs, or Gmail message content on its servers. When you choose to synchronize selected Gmail messages or threads with a connected CRM system, the resulting activity is stored in your authorized CRM account, not in Confirmed.

Google API Data Retention

Confirmed is designed to minimize retention of information received from Google APIs. Information that is needed only to complete a user-requested workflow is processed for that purpose and discarded after the requested operation is completed, unless retention is required by law, security, or legitimate technical needs such as short-term troubleshooting.

Information synchronized to a CRM system that you authorize is stored in that CRM account according to that CRM provider’s policies and your organization’s configuration.

Google API Services User Data Policy

Confirmed’s use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including the Limited Use requirements.

Accordingly, Confirmed uses Google API data only to provide or improve user-facing features that you request or configure; does not sell Google API data; does not use Google API data for advertising or marketing purposes; does not use Gmail data to train artificial intelligence models or for generalized AI processing; and does not transfer Google API data to third parties except as necessary to provide the features you request, comply with applicable law, protect the security of the Services, or with your authorization.

Confirmed does not permit human review of Google API data except when necessary for security, fraud prevention, legal compliance, technical support requested by you, system stability, or with your explicit consent.

4. Artificial Intelligence (AI)

What this means for you: Some Confirmed features use artificial intelligence (AI) to help provide or improve the Services. AI-generated results may be helpful, but they are not always accurate and should be reviewed before you rely on them.

Confirmed may use AI technologies to support features such as information extraction, document or image processing, optical character recognition, scheduling assistance, productivity features, and other functionality offered through the Services.

  • AI processes only the information necessary to provide the feature that you request.
  • AI-generated content, recommendations, or summaries may contain errors, omissions, or inaccurate information.
  • You remain responsible for reviewing information before relying on or sharing it.

Some AI functionality may be provided through trusted third-party service providers acting on Confirmed’s behalf. Those providers are permitted to process information only as necessary to provide the requested AI functionality and subject to applicable contractual and legal obligations.

Google API data is handled in accordance with the Google API Services User Data Policy and the Google-specific provisions described in this Privacy Policy.

AI features may not be used for unlawful, fraudulent, infringing, or abusive purposes.

5. Networking Events & Information Sharing

What this means for you: You decide what information to share. Information you choose to share with others may remain available to those recipients even after the original event or interaction.

Confirmed is designed to help you build professional relationships while giving you control over what information you share.

  • Information you mark as non-sharable will not be shared through the Services.
  • Information that you intentionally share with other users, meeting participants, event attendees, or organizations may remain available to those recipients even if you later remove it from your own account.
  • Information included in scheduling links or invitations is shared with the recipients you choose or with people who access the scheduling link that you distribute.
  • Confirmed cannot control how recipients use information after it has been shared with them.
  • Please consider carefully what information you choose to share.

6. Team Accounts & Administrators

What this means for you: If you use Confirmed through an organization or team account, administrators may manage certain aspects of your account and the information associated with it.

If you use a team, enterprise, or organization-managed account:

  • administrators may manage users, settings, connected services, meetings, scheduling information, and organization-owned data;
  • information entered on behalf of the organization may belong to that organization;
  • administrators may retain access to organization-owned information after individual users leave the organization or an account is removed; and
  • Confirmed is not responsible for actions taken by authorized administrators.

The permissions available to administrators depend on the type of account and the features your organization chooses to use.

7. Community-Contributed Information

What this means for you: Some information that you intentionally contribute for use by other users may be used to improve the Services.

You may choose to contribute certain non-personal reference information, such as meeting locations, venues, organizations, events, or similar reference information, for the benefit of other users or to improve the Services.

  • Confirmed may use, organize, display, and improve that information to enhance the Services;
  • this does not change your ownership of your personal information; and
  • this does not apply to information that you designate as private or non-sharable.

8. Cookies & Tracking Technologies

What this means for you: Confirmed and its service providers use cookies and similar technologies to operate the Services, understand how they are used, improve your experience, and, where applicable, support marketing and advertising.

Confirmed may use cookies, pixels, tags, local storage, and similar technologies to:

  • keep you signed in;
  • remember your preferences;
  • operate and secure the Services;
  • measure performance and usage;
  • understand how users interact with the Services;
  • improve existing features and develop new ones; and
  • where applicable, support advertising, remarketing, and similar marketing activities.

You can control cookies through your browser or device settings, although disabling certain technologies may affect the functionality of some Services.

Some third-party providers may also use their own cookies or similar technologies in accordance with their own privacy policies.

9. Security & Payment Information

What this means for you: We use commercially reasonable measures to protect your information, but no system can guarantee absolute security.

Confirmed uses commercially reasonable administrative, technical, and physical safeguards designed to protect your information from unauthorized access, disclosure, alteration, or destruction. These safeguards may include encryption where appropriate, secure authentication technologies, access controls, monitoring, and security practices designed to protect the Services.

When you connect third-party services, Confirmed uses industry-standard authorization mechanisms, such as OAuth where supported, rather than collecting your passwords.

Payment information is processed by trusted third-party payment providers. Confirmed does not store complete payment card information on its own systems.

If we become aware of a security incident affecting your information, we will respond in accordance with applicable law.

10. Data Retention

What this means for you: We retain information only as long as reasonably necessary to provide the Services, satisfy legal obligations, resolve disputes, and support legitimate business operations.

Different categories of information may be retained for different periods depending on their purpose. For example:

  • information associated with your Confirmed account may be retained while your account remains active and for a reasonable period afterward;
  • organization-owned information may be retained in accordance with your organization’s account;
  • information synchronized to third-party CRM systems becomes subject to the retention practices of those systems;
  • certain information received from connected services may be processed only temporarily to complete user-requested features and may not be retained after the requested processing has been completed; and
  • some information may be retained when reasonably necessary for legal, security, fraud prevention, dispute resolution, accounting, or legitimate business purposes.

When information is no longer needed, Confirmed will delete, anonymize, or securely dispose of it as appropriate.

11. Compliance With Privacy Laws

What this means for you: Depending on where you live, you may have privacy rights regarding your personal information.

Confirmed is committed to complying with applicable privacy laws, including, where applicable, laws such as the General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), and other applicable privacy and data protection laws.

Subject to applicable law, you may have rights to:

  • access your information;
  • request correction of inaccurate information;
  • request deletion of certain information;
  • object to or restrict certain processing; and
  • withdraw consent where processing is based on consent.

12. California Privacy Rights

What this means for you: California residents may have specific privacy rights.

California residents may request disclosure of categories and specific pieces of personal information collected, deletion of personal information subject to legal exceptions, and information about whether personal information is sold or shared.

Confirmed does not sell your personal information to third parties. We share information only as described in this Privacy Policy, such as with your consent, with service providers, with connected services you authorize, or as required by law.

13. Law Enforcement & Business Transfers

What this means for you: We may share information if required by law or during corporate transactions.

  • Confirmed may disclose personal information if required by law, subpoena, court order, lawful government request, or to protect rights, safety, and security.
  • If Confirmed is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, user information may be transferred as part of that transaction, subject to applicable law.

14. Children’s Privacy

What this means for you: Confirmed is not directed to children under 16.

  • The Services are not directed to individuals under sixteen (16).
  • We do not knowingly collect personal information from children under sixteen.

15. Third-Party Services

What this means for you: Many Confirmed features work with third-party services that you choose to connect. Those services operate under their own terms and privacy policies.

When you connect Confirmed with third-party services, such as email providers, calendar providers, CRM systems, professional networking services, payment providers, or other supported services, those providers’ own terms, conditions, and privacy policies also apply.

Confirmed is not responsible for the privacy practices, security, availability, or actions of third-party services.

When you authorize Confirmed to connect to a third-party service, Confirmed exchanges information with that service only as necessary to provide the features you request or configure.

16. Governing Law

What this means for you: Pennsylvania law governs this Privacy Policy.

This Privacy Policy is governed by the laws of the Commonwealth of Pennsylvania, without regard to conflict-of-law principles, except where applicable privacy laws provide otherwise.

17. Changes to This Privacy Policy

What this means for you: We may update this Privacy Policy, and continued use means acceptance of the updated policy.

  • Confirmed may update this Privacy Policy from time to time.
  • Material changes will be communicated through the Services, by email, or by other reasonable means.
  • By continuing to use the Services after changes take effect, you agree to the revised Privacy Policy. We encourage you to review this Privacy Policy regularly.
